Coffee Cart vs. Espresso Catering vs. a Drop-Off Coffee Box: Which Fits Your Event?
Coffee cart, espresso catering or a drop-off coffee box? What each one is, how they compare on drinks, service and cost, and which fits your event.
Short answer: pick a coffee cart when you want a barista making espresso drinks to order and a setup guests gather around; espresso catering is the same service under a different name; a drop-off coffee box fits a short meeting where people just need a cup of brewed coffee. For weddings, launches, team days and parties, a coffee cart is usually the better fit, and in San Diego ours starts at $475 for up to 40 guests and 2 hours of service.
Below: what each option really is, how they compare, and how to choose for your event.
The three options at a glance
- Coffee cart: a mobile espresso bar on wheels with a barista. Drinks are made one by one: lattes, cappuccinos, cortados, americanos, teas. The cart itself is part of the look of your event.
- Espresso catering: a barista and an espresso machine brought to your event. Most of the time it means exactly what a coffee cart does; the difference is mostly how the setup looks.
- Drop-off coffee box: a box of brewed coffee from a café, picked up or delivered, with cups, sugar and creamer. Nobody stays to serve. A box usually pours around a dozen small cups.
Coffee cart vs. espresso catering: what's the difference?
For your guests, very little. In both cases a barista pulls fresh espresso and steams milk for each drink. So when you compare quotes, look past the name and ask three questions:
- Is it a full espresso bar? Drinks made to order, or coffee from an urn?
- Who serves? Professional baristas, or self-serve?
- What does the setup look like? A cart is a styled piece people photograph at weddings and brand events. A machine on a folding table does the job but adds nothing to the room.
Our cart is a full espresso bar with professional baristas, the supplies to serve your guests and house-made syrups in every drink. It works indoors or outdoors, in a lobby, a courtyard, on a patio or on a wedding lawn.
When a drop-off coffee box is enough
A box is the right call when coffee is fuel, not part of the event:
- An early meeting of a handful of people
- A training session where everyone stays at their seats
- A budget built around a few dollars a person
What a box can't do: espresso drinks, milk steamed to order, oat or almond lattes made fresh, or a line where people actually talk to each other. And once the boxes are empty, the coffee is over.
When a coffee cart is worth it
- Weddings: a warm drink during cocktail hour or with dessert, and a cart that fits your decor. See our wedding coffee cart.
- Work events: appreciation days, all-hands, client events and launches, where you want people to step away from their desks. See our corporate coffee cart.
- Brand events: branded cups, a branded cart or your logo printed on the latte foam turn the coffee into part of the brand.
- Parties and showers: when the coffee is a treat, not a refill.
How the cost compares
A drop-off box is the cheapest way to put coffee in a room, because nobody stays to serve. A coffee cart costs more because a barista makes every drink for the length of your event. With Holy Coffee Cart, a booking starts at $475 for up to 40 guests and 2 hours of service, and there's no minimum headcount, so 10 guests or 40 is the same $475. Bigger groups and longer events are on our coffee cart price guide.
What a coffee cart needs from you
- A flat 6×8 ft area, indoors or outdoors
- A standard 110V outlet nearby (for some outdoor setups we can bring an extension cord or a generator)
- Your date, start and end time, venue and guest count

Coffee cart vs. coffee catering FAQ
Is a coffee cart the same as espresso catering?
Mostly, yes. Both bring a barista and an espresso machine to your event and make drinks to order. A coffee cart adds a mobile bar that's part of your event's look.
Is a coffee cart better than a drop-off coffee box?
For a short meeting, a box is enough. For a wedding, a team event or a launch, a coffee cart gives guests espresso drinks made to order and a place to gather.
