How to Plan a Coffee Cart for Your Event: Space, Power, Guests and Timing

Hiring a coffee cart is one of the easiest upgrades you can make to an event, and a little planning makes the day run even smoother. Whether it's a wedding, an office activation or a private party, this coffee cart planning checklist walks through everything we'll ask about, so you can have it ready before you reach out.
Step 1: Lock in your date and location
Start with the basics: your event date and venue. We serve San Diego and the surrounding areas, including La Jolla, Del Mar, Carlsbad and Encinitas, as well as Sacramento.
Weekends and peak event seasons fill up quickly, so it's worth checking availability as soon as your date is set, even if other details are still open.
Step 2: Find the right spot for the cart
We typically need a flat 6×8 ft area. The cart can be set up indoors or outdoors, depending on the venue setup and accessibility.
A few placement tips:
- Choose a spot guests pass naturally, near the entrance, the lounge area or the dessert table.
- Leave room for a short line so it doesn't block a doorway or walkway.
- For outdoor events, think about where shade and a level surface will be at the time of service.
Step 3: Check power
In most cases we need access to a standard 110V outlet near the setup area. This is the one detail worth confirming with your venue in advance. If your venue has specific limitations, let us know ahead of time and we'll do our best to accommodate.
Step 4: Estimate your guest count
A rough number is enough to start. We serve both intimate gatherings and large events, and for high-volume events we customize the service flow to keep the line moving. Share your estimate and we'll recommend the best package for your group size.
Step 5: Decide when service starts and ends
Think about the moments you want coffee to be part of: guest arrival, cocktail hour, dessert, or a mid-afternoon break at a work event. Your start and end time help us plan staffing and setup.
Step 6: Choose a package
