Bridal or Baby Shower Coffee Bar: DIY Ideas vs. a Coffee Cart
A shower or brunch coffee bar: what to put on a DIY table, theme ideas, and when hiring a coffee cart with a barista makes more sense.
Short answer: a DIY coffee bar works well with drip coffee or cold brew, a few syrups and toppings, and a self-serve table. If you want lattes made to order and nobody stuck on coffee duty, a Holy Coffee Cart barista in San Diego starts at $475 for up to 40 guests and 2 hours, and 10 guests costs the same.
Below: what to put on a shower coffee bar, how to set one up yourself, theme ideas, and how to tell when hiring a cart is worth it.
What to put on a shower coffee bar
Keep it simple. A good coffee bar needs fewer things than Pinterest suggests.
- Coffee: one hot option (drip in a carafe or a self-serve dispenser) and, on a warm day, one cold option like cold brew over ice.
- Milk: regular milk plus one plant milk, such as oat or almond. Keep them cold.
- Sweeteners and syrups: sugar, a sugar-free option, and two or three syrups (vanilla and caramel cover most guests).
- Toppings: whipped cream, cinnamon, cocoa powder.
- Something without coffee: hot water and a few tea bags, or a pitcher of lemonade.
- The basics: cups with lids, stirrers, napkins, a trash bin nearby.
How to set up a simple DIY coffee bar
- Pick a spot away from the food line so guests getting coffee don't block the buffet.
- Set it up in order: cups, then coffee, then milk, then syrups and toppings, then lids and napkins. Guests move one way and don't double back.
- Label everything. Small cards for each coffee, milk and syrup save a lot of questions.
- Brew in batches. Have a second pot or batch ready to go, and ask one person to check the carafes every half hour.
- Keep milk on ice and refill it often instead of leaving one big carton out.
The catch with DIY: someone has to keep it running. At most showers that ends up being the host, a bridesmaid or the mom-to-be's sister.
Coffee bar theme ideas for a shower
- "Love is brewing" for a bridal shower, or "a baby is brewing" for a baby shower, on a sign above the bar.
- Café table: a chalkboard menu, small vases of flowers, mugs or cups in the shower's colors.
- Menu sign with named drinks: give the couple's or the baby's name to a drink ("The Mrs. Latte").
- Sweet pairing: set the coffee bar next to the dessert table so guests get both at once.
When a hired coffee cart is worth it
A coffee cart makes sense when any of these is true:
- You want espresso drinks. Lattes, cappuccinos and cortados need an espresso machine and someone who knows how to use it.
- The host wants to be a guest. Our barista runs the bar for the whole service, so nobody at the party has to.
- The coffee is part of the moment. At a shower, a coffee cart is something guests remember and photograph.
- Your group is small. We have no minimum headcount. A shower of 15 pays the same $475 as one of 40.
What a barista-made menu looks like at a shower
We bring two menus:
- Classic: espresso, americano, cappuccino, latte, cortado, matcha latte, and black, green or herbal teas, all made with our house-made syrups. Oat and almond milk are included at no extra charge.
- Premium: everything in Classic, plus RAF Coffee, Bumble Coffee, homemade lemonade and Matcha Tonic.
Curious what RAF or Bumble Coffee is? Here's our guide to our drinks. Custom branded cups and your logo printed on the latte foam are available as add-ons.
What the host needs to have ready
- A flat 6×8 ft spot, indoors or outdoors
- A standard 110V outlet nearby (for some outdoor setups we can bring an extension cord or a generator)
- Your date, start time, address and guest count

Cost: a DIY coffee bar vs. a coffee cart
DIY costs what you buy: coffee, milk, syrups, toppings, cups and ice, plus a carafe or dispenser if you don't own one. The hidden cost is time: shopping, brewing, refilling and cleaning up, usually by the host.
A coffee cart in San Diego starts at $475 for up to 40 guests and 2 hours of service. That includes the cart, a full espresso bar, a professional barista and all the supplies. There's no travel fee for events within an hour's drive of San Marcos. See the packages and service area on our San Diego coffee cart page.
Hosting near Sacramento? We bring the cart there too. Send your date and guest count from our Sacramento coffee cart page and we'll quote it. And if the shower is the start of a bigger plan, here's how a wedding coffee cart works.
Shower coffee bar FAQ
How much coffee do I need for a shower of 30?
There's no reliable rule of thumb we can give you; it depends on the time of day and your guests. For DIY, keep a second batch ready to brew. With a barista, every drink is made to order, so there's nothing to estimate.
Is a coffee cart worth it for a small shower?
Often, yes. We have no minimum headcount, so 10 guests or 40 is the same $475 in San Diego, and nobody on your side has to run the bar.
Can you serve drinks without coffee?
Yes. The Classic menu has a matcha latte and black, green or herbal teas. Premium adds homemade lemonade and Matcha Tonic.
Can the cups carry our names or a logo?
Yes. Custom branded cups are an add-on, and we can print your logo on the latte foam. Ask for them in your request.
How far ahead should I book?
As early as you can, especially for weekends and peak event seasons, when dates fill up fast.
